The Complete Guide to Print-Ready Design Files
Getting a design printed seems simple — until you receive your prints and the colors look nothing like they did on screen, or the edges are cut off. Print-ready files follow specific technical requirements that ensure what you see on screen is exactly what comes out of the printer. Here is everything you need to know.
What Does "Print-Ready" Mean?
A print-ready file is a design file that is fully prepared for professional printing. It meets the technical specifications that printing presses require, including resolution, color mode, file format, bleed, and safe zones.
Key Technical Requirements
1. Resolution: 300 DPI Minimum
DPI stands for "dots per inch." Screen designs are typically 72–96 DPI, which looks fine on screen but will appear pixelated and blurry when printed. Always design at 300 DPI for print. For large format prints like banners and billboards, 150 DPI at final size is usually sufficient.
2. Color Mode: CMYK, Not RGB
Screens display colors using RGB (Red, Green, Blue) light. Printers use CMYK (Cyan, Magenta, Yellow, Black) ink. Colors look different in each mode. Always convert your design to CMYK before sending to print, or you may be surprised by how different the colors look.
3. Bleed: Add 3mm on All Sides
Bleed is the extra margin of design that extends beyond the final trim line. When a printer cuts paper, there is a small margin of error. Adding 3mm of bleed on all sides ensures no white edges appear on your finished print even if the cut is slightly off.
4. Safe Zone: Keep Text 5mm from the Edge
Just as bleed extends outward, the safe zone is an inner margin where all important content — text, logos, faces — must stay. Keep everything important at least 5mm (0.2 inches) from the trim edge.
5. File Format: PDF (Preferred) or AI, PSD, TIFF
Most professional printers prefer PDF/X-1a or PDF/X-4 format. Ensure all fonts are embedded or outlined, and all images are embedded (not linked). AI (Adobe Illustrator) and PSD (Photoshop) files are also accepted by many printers with the proper setup.
6. Fonts: Outline or Embed All Text
If you send a file with text that uses a font the printer does not have installed, the text will reflow or display incorrectly. Always convert text to outlines (in Illustrator: Type → Create Outlines) or embed fonts in your PDF export settings.
